Regardless of whether your booking was made through email, Bark, Zola, Gigsalad, Bark Dash, or Thumbtack, all cancellation policies are consistent as of January 2026. Prior to booking, every client receives access to our website to view our photography portfolio, and text messages are sent as a reminder to review the website before finalizing their reservation. Our aim is to ensure transparency and clarity for all our clients.

 

MEMORIES TO REMEMBER PHOTOGRAPHY

Booking, Payment, Cancellation & Credit Policy

Effective Date: January 2026

By booking photography services with Memories to Remember Photography and submitting any retainer, deposit, partial payment, or full payment, the client acknowledges that they have reviewed and agreed to the policies below.

1. BOOKING & DATE RESERVATION

An event date is not reserved until the required payment has been received.

Quotes, special pricing, discounts, and verbal discussions do not guarantee availability or reserve an event date unless otherwise stated in writing.

Once payment required to reserve the date has been received, that date and scheduled time are set aside for the client.

2. RETAINERS, DEPOSITS & PAYMENTS

All retainers, deposits, booking payments, partial payments, and payments made toward photography services are applied toward the client’s booking and the reservation of the photographer’s time.

All payments are non-refundable unless Memories to Remember Photography agrees otherwise in writing.

Payment of a retainer, deposit, partial payment, or full payment constitutes the client’s acceptance of the booking terms and policies provided to the client before payment.

3. CLIENT CANCELLATIONS

If the client chooses to cancel photography services for any reason, cash refunds are not provided.

When approved, eligible payments may be converted into a photography credit that can be used toward another photography service with Memories to Remember Photography.

Any credit offered is subject to the terms of this policy.

4. PHOTOGRAPHY CREDIT

Approved photography credits:

• Are valid for 12 months from the cancellation date.
• Must be used toward photography services provided by Memories to Remember Photography.
• Are subject to photographer availability.
• Have no cash value.
• Cannot be exchanged or redeemed for cash.
• Are non-transferable unless approved in writing by Memories to Remember Photography.
• May be applied toward a service of equal or greater value. The client is responsible for any difference in price.
• Expire if they are not used within the applicable 12-month period.

Issuing a credit does not guarantee that the photographer will be available for the client’s preferred replacement date.

5. RESCHEDULING

Requests to reschedule are subject to availability and must be approved.

If the photographer is available and approves the new date, eligible payments or credits may be transferred to the rescheduled service.

Changes in location, hours of coverage, travel requirements, package selections, or services may result in additional charges.

Repeated rescheduling or substantial changes to an event may be treated as a cancellation at the photographer’s discretion.

6. WORK ALREADY COMPLETED & CUSTOM ITEMS

Payments associated with work already performed or expenses already incurred are non-refundable.

This may include, when applicable:

• Planning and preparation
• Consultations and meetings
• Administrative and scheduling work
• Editing already completed
• Videos or other media already created
• Photo books or albums
• Prints, frames, USB drives, and other physical products
• Custom or personalized products
• Shipping or mailing expenses
• Travel expenses already incurred
• Venue or event-related expenses
• Third-party services or products purchased for the client’s booking

Custom products that have already been ordered, produced, or purchased for a client cannot be canceled or refunded simply because the client later cancels the event.

7. CLIENT FAILURE TO ATTEND OR PARTICIPATE

If a client fails to appear, is unavailable, refuses services, or otherwise prevents photography services from being performed at the agreed date, time, or location, the booking may be treated as a client cancellation.

Payments will remain subject to this cancellation and credit policy.

8. LATE ARRIVALS & EVENT DELAYS

Photography coverage is based on the agreed start and end times.

If the client, event, ceremony, venue, or participants are delayed, the photographer is not automatically required to extend coverage beyond the originally scheduled ending time.

Additional coverage may be available for an additional charge and is subject to photographer availability.

9. WEATHER, VENUE & CIRCUMSTANCES OUTSIDE THE PHOTOGRAPHER’S CONTROL

Memories to Remember Photography is not responsible for circumstances outside the photographer’s reasonable control, including severe weather, venue restrictions, event delays, guest interference, transportation disruptions, emergencies, acts of government, or other circumstances that prevent or restrict photography.

When reasonable and available, rescheduling or photography credit may be offered depending on the circumstances.

10. PHOTOGRAPHER CANCELLATION

If Memories to Remember Photography is unable to perform the booked photography services and a reasonable replacement or rescheduling option cannot be provided, the appropriate remedy will be determined based on the circumstances and any services or products already provided.

Nothing in this policy is intended to eliminate any rights or remedies that cannot legally be waived.

11. DIGITAL IMAGE DELIVERY

The number of final photographs delivered may vary depending on the event, coverage time, lighting, participation, and circumstances.

Unless specifically included in writing, RAW or unedited photographs are not provided.

Editing style, image selection, and final artistic decisions remain within the photographer’s professional and artistic discretion.

12. ONLINE GALLERIES & DOWNLOADS

Clients are responsible for downloading and safely storing their photographs after delivery.

Online galleries are not guaranteed to remain available permanently. Clients should download and back up their photographs promptly after receiving their gallery.

13. SPECIAL PRICING & DISCOUNTS

Special offers, promotional pricing, customized packages, and discounts apply only to the booking for which they were offered.

If a booking is canceled, rescheduled, or substantially changed, the original special or discounted price is not guaranteed for a future booking.

14. PAYMENT DISPUTES & CHARGEBACKS

Clients should contact Memories to Remember Photography directly regarding questions or concerns about charges, cancellations, credits, or services.

The photographer reserves the right to provide the applicable booking records, invoices, payment records, communications, completed-work documentation, and applicable policies to a financial institution or payment provider in response to a payment dispute or chargeback.

Nothing in this section prevents a client from exercising any lawful rights available to them.

15. POLICY ACKNOWLEDGMENT

Clients are responsible for reviewing these policies before submitting payment.

By submitting payment after being provided access to these policies, the client acknowledges and accepts the terms applicable to the booking.

Clients are encouraged to save a copy of the policies and their individual proposal, invoice, or agreement for their records.
